POSITION DESCRIPTION:
The Assistant Technical Director supports the Technical Director in the planning, construction, implementation, and deconstruction of scenery for the stage, ensuring the process is completed safely, efficiently, and in alignment with and in service to Woolly’s artistic mission and commitment to Equity, Diversity, Inclusion, and Access. The Assistant Technical Director reports to the Technical Director.
DUTIES & RESPONSIBILITIES:
Production:
Collaboration and Preparedness on Projects
- Collaborate with the Technical Director, design team and other production departments to establish methods for the design and execution of the scenery and/or other elements of productions;
- In coordination with the Technical Director, prepare and organize the technical information pertaining to the scenery for specific productions so that the productions can be built, installed, and struck by shop employees in a timely, safe, and resource efficient manner;
- Execute technical drawings for scenic elements based on the designer drawings so they can be built by the shop staff, in coordination with the Technical Director;
- Think creatively with the Technical Director to engineer technical solutions to scenic designs, concepts and ideas. Maintain positive and collaborative attitude including when faced with challenges;
- In conjunction with Stage Management, building run sheets and responsibilities for run crews. Collaborate and execute departmental paperwork, inventory management, crew policy, etc.;
- Attend weekly Production Staff meetings, Production Meetings as directed, including representing the Technical Director in production meetings after technical rehearsals when necessary;
- Collaborate and contribute to departmental administrative responsibilities including hiring paperwork, tracking expenses, calendars and scheduling, and building systems for continued success;

Scene Shop, Technical Maintenance and Safety
- Actively support Woolly’s commitment to safety in the workplace, working with the Technical Director in the curation and implementation of new and improved safety practices in the scene shop, theatre, and technical work spaces;
- Play an active role in leading the scene shop floor according to the schedules determined by the Production Manager and Technical Director;
- Proactively update staff on the conditions of the theatre space, especially when the theatre is a construction zone during changeover;
- Maintain an up-to-date inventory of resources, tools, and supplies, with special awareness and focus on upkeep and maintenance according to equipment guidelines;
- Ensure continued scene shop support and maintenance throughout a show’s run as well as proper archival upon closing.
Scene Shop Internal Communication and Daily Maintenance
- In collaboration with the Technical Director, support the personnel in the scene shop to promote a safe, healthy, and productive working environment, in line with Woolly’s mission;
- Lead daily clean-up of all working spaces to maintain safety and efficiency in our work environments;
- Participate in training and orientation of scenic overhire in collaboration with the Technical Director.
Facilities:

POSITION DESCRIPTION:
The Audio Supervisor is responsible for the successful and safe execution and implementation of all sound needs for Woolly Mammoth Theater programming and facilities, ensuring the process is completed smoothly, within the allotted time, budget, and scope, and in alignment with and in service to Woolly’s artistic mission and commitment to Equity, Diversity, Inclusion, and Access. The Audio Supervisor reports to the Director.
DUTIES & RESPONSIBILITIES:
Position Specific Responsibilities:
- Work to meet all of the Theatre’s AV needs; including maintenance of Theatre’s AV equipment, planning and troubleshooting of AV issues both show related and building related
- Supervise and execute the sound for productions, as applicable, including comm systems;
- Coordinate with the Lighting Supervisor and Technical Director to share deck space and fly space;
- Coordinate with the Lighting Supervisor and Technical Director for any specialty sound, such as integrated speakers or microphones within scenic elements;
- Generate necessary documentation for the success of the production which may include speaker plot, system layout, run crew manuals, cue lists, etc.;
- Hire, supervise, assign, and train sound board operators and overhire audio technicians;
- Coordinate scheduling and hiring for audio work calls such as installs, quiet time, etc;
- Maintain an organized AV work and storage areas including the control booth;
- Perform preventative equipment maintenance as necessary;
- Make recommendations for equipment and resources necessary to maintain a well-stocked and flexible audio inventory;
- Assist with audio recordings such as voiceovers, as needed;
- Assist with the set up and strike of tech tables during the technical rehearsal process, including the stage managers calling station.
- Coordinate and supervise strike of audio equipment for the productions.
- Read and respond to performance reports throughout the run of the productions in a timely manner and address issues raised. This may include onsite work.
Collaboration and Communication on Projects
- Work with the Sound Designers and Design Associates or Assistants for productions to implement the designs.
- Collaborate with the design team and other production departments to establish methods for the design and execution of sound needs of productions;
- Maintain a proactive dialogue with designers to ensure that changes to the design are communicated to the appropriate members of the production team;
- Prepare and organize the technical information pertaining to sound for specific productions so that the productions can be purchased, installed, and struck in a timely, safe, and resource efficient manner;
- Maintain up-to-date paperwork of all productions as well as necessary archival of show files and information;
- Coordinate with Stage Management on necessary backstage sound needs for each production, ensuring the safety of all crew and actors;
- Adapt to and support many different styles of working, thinking, and collaborating;

Budget and Resource Management and Equipment Maintenance
- Prepare a thorough cost out for the sound needs of each production with flexibility, contingency and creativity to maximize resources in an efficient manner, with suggestions and plans to adhere to the allocated budget and resources;
- Maintain up-to-date tracking of all purchases and budget lines, including individual show budgets and department supplies for lighting, sound, and video;
- Maintain an up-to-date inventory of resources, tools, and supplies, with special awareness and focus on upkeep and maintenance according to equipment guidelines;
- Coordinate at a minimum yearly maintenance of all sound equipment;
- Research and propose industry advancements in an effort to better our inventories as the industry and technology evolve;
Mentorship and Leadership
- Manage and support all contracted audio personnel, interns, apprentices, and fellows to promote a safe, healthy, and productive working environment, in line with Woolly’s mission;
- Hire, train, coach, and motivate overhire employees within the departments as needed;
- Hire production sound operators for productions;
Facilities, Rentals and Events:
- Prioritize maintaining the facility and using the technical production skill set in service of the well-being of the facility;
- Identify and propose upgrades to facility lighting in an effort to improve sustainability and efficiency;
- Maintain facility spaces and equipment according to city and state regulations, ensuring code compliance;
- Coordinate with the Rentals and Operations Manager on sound requirements of rental clients, training rental staff and technicians to safely and effectively use sound equipment.

POSITION DESCRIPTION:
The Director of Production holds the primary responsibility for delivering the technical execution of all Woolly Mammoth productions on time and within budget, with an emphasis on facilitating clear and transparent communication between and among Production staff, other departments at Woolly, and creative teams working on each production. Reporting to the Artistic Director and Managing Director, this position supervises the Production Department, aligning human and financial resources to realize individual projects at the highest level, while working to maximize the overall capacity of the Production Department in service to Woolly’s artistic mission. This position is a member of the Core Leadership Team at Woolly Mammoth.
DUTIES & RESPONSIBILITIES:
- Oversee the execution of all production requirements to support Woolly’s mission and Guiding Principles.
- Facilitate timely communication among directors, designers, and production staff as designs are produced while assessing financial resources, staffing, and scheduling restraints. Work collaboratively with all stakeholders.
- Lead by example, modeling values, positive behaviors and best practices for the organization. Ensure a safe and supportive working environment for all.
- Lead staff in maintaining a climate of excellence, accountability, respect, and equity.
- Establish, communicate, and manage the production schedule; coordinate rehearsals, load-ins, strikes, and other production-related shows and events in our theatre and offsite. Consult with all relevant stakeholders.
- Foster positive labor relations; ensure compliance with union contracts (USA, AEA, SDC).
- Develop and maintain annual production budgets. Oversee all production related expenditures and establish methods of maintaining budget control.
- Develop and maintain production and organizational calendar for the upcoming season, in collaboration with staff, balancing the material and human needs of staff and shows.
- Develop and refine long range production department budget and long range production department staffing plan.
- Coordinate production facilities and equipment improvements and capital project management.
- Establish positive relationships with staff, artists, board members, and other stakeholders.
- Build and execute designer and crew contracts and ensure fulfillment of contractual obligations.
- Identify, hire, and maintain relationships with Stage Management teams (SM, ASM, PA).
- Supervise Department Heads in the search and hiring of all overhire and crew positions for productions, as well as contract and onboard those overhire and crew.

POSITION DESCRIPTION:
The Production Coordinator at Woolly Mammoth Theatre Company serves as a key member of the Production Management team. This position supports Woolly Mammoth’s galvanizing artistic work by assisting with the administrative functions of the Production Department for both internal purposes and assisting the production management of shows. This is a full-time position. The Production Coordinator reports to the Director of Production and works closely with the Production Department Supervisors at Woolly as well as stage managers, designers, overhire, and running crew.
DUTIES & RESPONSIBILITIES:
- Assist with the daily operations of the Production Office including using and refining existing template documents; drafting and sending schedules, calendars, contracts, and other production paperwork; and participating in the contract negotiation and administration process
- Facilitate email and in-person communication and information between and among collaborators, such as designers, directors, artists, and technicians, in collaboration with the Director of Production
- Participate in budget management, financial reporting, and procurement processes for the department, including purchase reconciliation, processing payments and reimbursements, and facilitating Bill Spend & Expense cards for temporary contactors/employees
- Support the Director of Production to schedule design meetings, production meetings, debriefs, and department team meetings using Outlook calendar, Doodle polls, etc
- Facilitate meetings including preparing agendas and notetaking
- In collaboration with the Director of Production, assist with providing hiring recommendations and contact information for designers, electricians/carpenters, stage managers, and run crew as requested by other Woolly staff members;
- Assist with technical rehearsals and previews, including (without limitation) production management coverage in the event that the Director of Production or Production Manager is absent, facilitating communication, setting up/breaking down tech tables, facilitating and note-taking during production meetings/notes sessions, coordinating designer comp tickets, and communicating with Front of House
- Manage job postings for designers, stage managers, production department staff, and crew using resources such as Offstage Jobs, Playbill, and DC Theater Tech Google Group, Art Search, LinkedIn, Indeed, etc
- Draft and send designer and crew I&A (interest and availability) checks, and contracts/LOAs, including collecting signed LOAs and sending to Finance department for correct processing and onboarding
- Assisting with the onboarding process of new Production department members or production members including stage managers, overhire, etc.

QUALIFICATIONS:
Essential Knowledge, Skills, and Abilities:
- High attention to detail and accuracy;
- Strong verbal and written communication skills, and the ability to communicate sometimes complex financial, operational, and scheduling requirements/processes into simplified terms;
- Proficiency with Microsoft Office
Other Skills or Qualities:
- Think creatively about how to solve problems including new ways of working together.
- Collaborate with and adapt to a wide variety of people, personalities, and working styles.
- Self-motivated, organized, and able to manage multiple priorities and projects.
Preferred Experience:
- Familiarity with theater union regulations (AEA, USA, SDC)
- Experience drafting, negotiating, and administering contracts especially via PandaDoc
- Experience with budgeting and financial management
- Experience with financial systems such as Bill.com, Divvy, and ADP
- Experience with productivity systems like Monday.com, Dropbox, and Google Suite
WORKING CONDITIONS:
- Extended viewing of computer screens.
- Occasionally lifting up to 50 lbs.
- Typical working hours are Mon-Fri between 10am-6pm, with some evenings and weekends necessary during tech and previews for every production.
- This position currently allows for hybrid working model similar to other administrative positions at Woolly; typically Tuesday-Thursday onsite at Woolly with Monday and Fridays remote. This cadence is subject to change as necessary for every production.
- Woolly’s office is an open/shared office environment with moderate noise levels.
- Woolly Mammoth Theatre Company is located in Washington, DC’s Penn Quarter neighborhood. It is air-conditioned, located in a wheelchair accessible building, and in close proximity to public transportation, including the Archives and Gallery Place Metro stations.
COMPENSATION:
- Salary Range: $55,000 – $65,000

In recognition of the necessity for top-tier talent, we strive to provide pay that meets the market by leveling with industry peers to determine the pay range for each position. Where the employee falls in that range is determined by experience and skill set. Woolly will work hard to administer the compensation program in a manner that is transparent, consistent, and equitable across the company.
